Operations Coordinator
Responsibilities
1. Administrative Support:
- Provide comprehensive administrative support to the CEO and Director of Programming and Membership, including managing schedules, coordinating meetings, and handling correspondence.
- Attend some meetings with the CEO and help notate tasks or action items to review with the team
- Collaborate with the CEO to oversee grant applications and reporting processes, ensuring timely submission and compliance.
- Pull data for monthly board reports and help compile board report packets
2. Operational Duties:
- Execute daily operational tasks to maintain a welcoming, clean, and functional environment at The Pantheon.
- Manage office logistics, including inventory, maintenance coordination, and meeting space arrangements.
- Oversee building maintenance to ensure compliance and operational efficiency.
- Handle meeting space management, including quoting, invoicing, and customer service for clients.
- Manage rental activities at The Pantheon, from quoting to invoicing and customer support.
- Conduct basic bookkeeping tasks, such as managing accounts and expenses.
- Manage Onboarding for hired interns and delegations to Pantheon dedicated Interns.
3. Membership Services:
- Assist in membership services, including processing applications, onboarding new members, and maintaining databases.
- Respond promptly to member inquiries and provide exceptional customer service and support.
- Engage with members to understand their needs and preferences, enhancing their experience.
Requirements
- Strong organizational and multitasking abilities.
- Excellent customer service skills.
- Comfortable in a fast-paced work environment
- Ability to think quickly and adapt to change
- Willingness and ability to learn new software applications.
- Associate's degree or equivalent experience preferred.
Additional Information
- The employer may change this job description as the employer's needs and requirements change.
- Salary range begins at $36,000 and is commensurate with experience.
- Flexible work environment and benefit package.
- This is a full-time position, Monday through Friday, during regular business hours of 8 AM-4 PM.
- Regular and reliable attendance are requirements of this position.
